 General

This app extends the employee and personnel overview pages with SharePoint-based document and folder information for users working in the Infoniqa/NAPA environment.

It helps teams keep employee-related documents close to the record they are working on and supports a consistent document workflow without leaving the Business Central page.

 App Setup

The app does not introduce a separate setup table of its own. Its behavior is controlled through the existing Extended SPC and SharePoint mapping configuration together with the page selection page that determines which extensions are active.

General Settings

SharePoint mappingA mapping between a Business Central table and the relevant SharePoint site and folder structure. When the mapping exists and matches the current record, the factbox can load the related documents.
Extended SPC activationEnables the extension logic for the current record and page. This check prevents the document factbox from appearing where no related SharePoint content is available.
Page selectionLets an administrator decide which page extensions from this app are active. The selected state is stored per object and is evaluated when the page opens.

Actions

  • Activate or deactivate a page extension

Use the page selection page to switch the relevant employee pages on or off. Only selected extensions load the SharePoint document factbox in the user interface.

  • Review SharePoint mapping

Check the configured mapping and folder structure before using the factbox. A valid site and base folder are required to show the linked documents correctly.

 Page Selection

This page controls which page extensions from the app are active for the current environment. It is used to switch the SharePoint-related employee page features on and off without changing the underlying pages themselves.

Purpose

The selection list makes the app configurable for different customer scenarios. If a specific employee page should not display the SharePoint factbox, it can be deactivated here. This helps keep the user interface aligned with the actual business process and available integrations.

How to Use

  1. Open the page selection list.
  2. Review the list of available page extensions included in the app.
  3. Activate or deactivate the relevant pages according to the required business process.
  4. Close the page and reopen the affected employee page to apply the setting.

Practical Meaning

Only selected pages load the SharePoint document functionality. This is especially useful when the app is rolled out across multiple user groups or when only part of the employee pages should show document information.

 Working with the App

This extension is designed for users who work with employee records and need document visibility without leaving the page. It adds a SharePoint factbox to the employee card and employee list pages, making folders and related files available at a glance.

Before You Start

  • The relevant SharePoint site and folder mapping must be configured for the employee data.
  • The page extension must be active in the page selection so the document factbox appears.
  • Users need access to the relevant SharePoint content and the related Business Central employee record.

Main Process

  1. Open the employee card or employee list page.
  2. The system checks whether the current record has an active SharePoint mapping and whether the extension is enabled.
  3. If the conditions are met, the factbox prepares the folder information and loads the linked documents in the background.
  4. Review the document list and open the related files directly from the Business Central page.

 Employee Card

The employee card shows the SharePoint document information for the current employee record. This helps users access relevant files, folders, and references directly from the employee page.

What the User Sees

When the page extension is active and a matching SharePoint mapping exists, the factbox displays the related document area for the current employee. The information is retrieved in the background and then shown on the page so the user can review documents without leaving the record.

When It Is Available

  • A document mapping exists for the employee table.
  • The SharePoint site and base folder are configured correctly.
  • The page extension is active in the page selection.
  • The record is valid for the current employee context.

Business Value

This keeps employee documents close to the master data record and reduces the need to search separately in SharePoint. The user can quickly verify which folders and files belong to the employee and open them when needed.

 Employee List

The employee list adds the same SharePoint document awareness to overview pages. This gives users a quick way to see whether a selected employee has related files or folders attached in the configured SharePoint structure.

What This Adds

When the list page is activated, the factbox loads the related document view for the current employee in the same way as on the employee card. This makes document access consistent across both master-data pages.

Typical Use

  • Review employees with attached documents.
  • Check whether a folder or document structure is available.
  • Open related SharePoint content directly from the list page.
