Embedded Power BI Reports extends Microsoft Dynamics 365 Business Central with curated Power BI report tiles that can be opened directly from the Role Center.

The app helps administrators assign report visibility by security group and gives end users fast access to the reports that are relevant to their role.

It is intended for business users, team leads, and administrators who need controlled and user-friendly access to analytics content.

 App Setup

Use the setup area to define which Power BI reports are available in Business Central and who is allowed to see them.

The app stores setup globally (not per company). Start with the report selection and then assign security groups to each report.

Setup Areas

AreaDescription
InformationProvides links to the online documentation and release notes.
Power BI Report SelectionEmbedded list where administrators maintain the reports that can be used in the app.
Permissions per ReportFor each selected report, open permissions and assign the security groups that should be able to see it.

What to Configure First

  1. Open the report setup page from the Role Center tile action Setup.
  2. Add reports with Select Report.
  3. Open Permissions for each report and assign security groups.
  4. Run Update Security Group Members to refresh the member cache used by visibility checks.

 Working with the App

This app provides controlled access to embedded Power BI reports directly from Business Central Role Centers.

Before You Start

  • Ensure Power BI embedding is configured when you open a report for the first time.
  • Verify that administrators have assigned report permissions to relevant security groups.
  • If users cannot see expected reports, refresh security group members in setup.

Main Process

  1. Administrators open App Setup and select relevant Power BI reports.
  2. Administrators assign security groups for each report in Power BI Report Permissions.
  3. Users open their Role Center and review the reports shown in Power BI Reports.
  4. Users drill down on a report caption to open the embedded Power BI viewer.

Typical Tasks

  • Add a new report to the catalog.
  • Grant report access to one or more security groups.
  • Check which users belong to a security group.

Each line shows the report caption used for business users. Drill down on a report caption to open the embedded Power BI report view.

Actions

If No Reports Are Visible

  • Check whether report permissions were assigned to your security groups.
  • Ask an administrator to run Update Security Group Members in the permissions page.

Use this list to maintain which Power BI reports are available in the app.

Fields

FieldDescription
NameTechnical name of the report from Power BI.
Display NameUser-facing caption shown in the Role Center report list.

Actions

  • Select Report

    Opens the Power BI selection dialog and adds the selected report to this list.

  • Permissions

    Opens Power BI Report Permissions for the selected report.

Usage Notes

  • Each report can only be added once.
  • After adding a report, assign at least one security group in permissions so users can see it.

This page defines which security groups are allowed to view a specific Power BI report.

Security Group NameName of the Business Central security group that is authorized for the report.

Actions

  • New

    Select one or more security groups and add them to the current report.

  • Update Security Group Members

    Refreshes the stored security group member list used by report visibility checks.

    Opens Security Group Members for the selected security group.

When to Use Update Security Group Members

  • After role or group membership changes in Business Central.
  • When users report missing or unexpected report visibility.
