 Create invoices with QR code

2026/07/22 • 3 min. to read
With the Pay with QR Code function, you can print a standardized EPC QR code on your invoices that contains all relevant payment data such as payee, IBAN, BIC, amount, and payment reference. Your customers can scan this QR code with their banking app and have the transfer prefilled directly in the app, so they do not need to enter the payment details manually. This makes the payment process quick, convenient, and error-free, and it also simplifies the allocation of incoming payments. The QR code creation is directly integrated into Microsoft Dynamics 365 Business Central and can be used for sales invoices, prepayment invoices, and service invoices.
  • The QR code complies with the European EPC standard and is supported by most banking apps.
  • The feature can be used for sales invoices, prepayment invoices, and service invoices.
  • The bank account used and the payment reference can be controlled individually.
  • The allocation of the payment to the open item is facilitated by the unique reference and can be automated with NAVAX Payment Imports.
  • The feature offers your customers a modern, convenient payment method and reduces errors in payment processing.

How to use Pay with QR Code

Prerequisites

  • The feature must be enabled in the NCP Pay with Code Setup. For more information, see Setup, General, Pay with QR Code..
  • The desired payment method must have the NCP Pay with QR Code field enabled.
  • For QR code generation, a bank account with a valid IBAN and SWIFT/BIC must be available. If no bank account is specified on the document, the default bank account from setup is used.

Create a QR code for a document

  1. Create a sales, prepayment, or service invoice as usual.
  2. Select the customer and the payment method for which NCP Pay with QR Code is enabled.
  3. If needed, specify a bank account for the document if you do not want to use the one from setup; use the Company Bank Account Code field for this.
  4. Fill in one of the fields Your Reference or External Document Number. This creates a unique reference for the QR code and makes later payment allocation easier.
  5. Post the document. If the setup is enabled, a QR code for the document data is generated automatically and the reference is stored in the customer ledger entry.

Create or update the QR code for a posted document

  1. Open the posted document and choose the Update Document action on the document card.
  2. Select the Create QR Code action. The QR code is recreated for the current document data.
  3. If data such as the payment method, bank account, payment reference, or your reference has changed, the QR code is recreated automatically when you leave the page. This ensures that the data remains current.

Check the data

  1. Open the posted document and choose the NCP QR Code Document Data action on the document card.
  2. Verify that a QR code exists and that it matches the payment data stored on the document.
