About

Setup

The set-up of the pre-payment accounting takes place in the Financial accounting facility and in the Accounting matrix set-up.

In the Financial Accounting Setup screen there is a new tab called pre-payments / Partial Payments.

In the two header fields (pre-payment Invoices & pre-payment Credits), text is entered so it appears in the header of the invoice.

In the field's resolution of pre-payments and resolution of Partial Payments - text is entered which is to be printed in the final invoice.

If Prepayment Module fields need to be translated, this is possible with the OnAssist button. It is then possible to create as many translations as needed for different languages. The created translations are applied depending on the document language.

General Posting Setup

In the General Posting Setup and in the VAT Posting Setup the configuration must be made for the product posting group entered in the general ledger setup.

General Accounting Matrix Setup

In the Accounting Matrix, new fields have been added to complement the pre-payment and partial invoices. The required combinations of business posting group and product posting group (from financial accounting set-up) should be entered.

  • A/R pre-payment account: The G/L account to which the outgoing pre-payment invoices are posted is entered here.
  • Sales partial payment account: The G/L account to which the outgoing partial invoices are posted is entered here.
  • A/P pre-payment account: The G/L account to which the incoming pre-payment invoices are posted is entered here.
  • Partial purchase payment account: The G/L account to which the incoming partial invoices are posted is entered here.

VAT. Accounting matrix set-up

In the VAT. No programme changes were made in the VAT accounting matrix. For the unrealised VAT. posting for pre-payment and partial invoices, the following settings must be made.

For the unrealised VAT to work, it must be activated in the financial accounting setup.

For the unrealised VAT, the value Percentage must be selected in the Unrealised VAT Type field. For the unrealised VAT type, the value Percentage must be selected in the field Unrealised VAT type (with this, 80% of the VAT is realised for a payment of 80% for a partial invoice). In the field unreal. VAT account or unreal. Input tax account, a G/L account must be entered. For purchase taxation, a G/L account must also be entered in the unreal. In the case of purchase taxation, a G/L account must also be entered in the field for unrealised purchase taxation.

Process Description: Sales

In sales, the prerequisite for using pre-payment and partial invoices is a sales order. In the sales header the field Identifier (PRP/PP/FP) is created. Behind this field is a table in which you can store a new data record for the order and thus a pre-payment plan. If a value is entered in this field and assigned, a pre-payment and partial invoices can be created for this order. An identifier (PRP/PP/FP) can only be used for one order in the system. Each new order requires the creation of a new identifier.

Beside Documents (Header and Lines) Prepayment Module - fields (“Invoice Indicator” and “Identifier (PRP/PP/FP)”) are also transferred to following entries:

  • G/L Entries
  • VAT Entries
  • Customer Entries
  • Vendor Entries
  • FA Ledger Entries

Manual postings without payment plan

You can add Prepayment Module - fields (“Invoice Indicator” and “Identifier (PRP/PP/FP)”) to Finance journals. Filled Prepayment Module - fields are transferred to above mentioned entries.

Note

Manual postings have no effect to payment plan.

Note

At manual postings without payment plan (Check of source of Sales or Purchase) you can modify Prepayment Module - fields on posted Finance Entries. At modifications there are no checks. FA Ledger Entries cannot be modified directly in page of FA Ledger Entries, they must be modified by a separate window.

Find Entries

In order to see all entries with same “Identifier (PRP/PP/FP)” with one view, you can use function “Find AZM entries” in page “Find entries”.. If you use this function, you will see under specification of “Identifier (PRP/PP/FP)” and use of function “Find” all entries and documents with same “Identifier (PRP/PP/FP)”.

Note

If “Identifier (PRP/PP/FP)” of shown entries is modified by user “No. of Entries” will not be correct anymore, as modified entries doesn’t match anymore to defined filter.

Create a pre-payment or partial invoice

Flat-Rate pre-payment invoice

For pre-payment invoices, a flat-rate invoice can be created in the sales order. Only one invoice line with the entered flat rate amount is created in this invoice.

"Create invoice" opens a dialogue window where "pre-payment invoice" is selected in the field Invoice type. Then a percentage or an amount can be entered in the window as desired. This amount then corresponds to the net amount of the created pre-payment invoice. In the field G/L account description, the row description for the cumulated sum row is entered.

The created flat-rate invoice contains a row with the description and the amount from the "AZM Create invoice" window. The combination of gen. business posting group and gen. product posting group is pulled from the gen. business posting group field via the customer (gen. business posting group) and from the general ledger setup (pre-payments/partial invoices tab). The G/L account to which the pre-payment invoice is posted is pulled from the general posting setup from the "sales pre-payment invoice" account field.

After release, the invoice can be posted.

Note

As a prerequisite for any further invoice, there must not be any other prepared invoice for the respective order/payment schedule.

Flat-Rate partial invoice

A flat-rate invoice is created from the order via the menu call Actions -> AZM -> "Create invoice". In the field Invoice type, "Part Payment Flat-Rate Invoice" is selected.

After release, a credit note is created in the background to balance the pre-payment invoice. (see "Cumulation")

Cancellation feature

The last generated partial invoice can always be cancelled via the cancellation function so that it can be corrected. For this purpose, a new sales credit note is to be created with the same customer. Then a window is called up via the menu call Actions - Cancel Pre.-/Part Payment Function in which the partial or pre-payment invoice to be cancelled can be selected.

After the selection, the credit note is automatically linked to the partial or pre-payment invoice to be cancelled. The link can be seen in the payment plan of the order in the Prepared credit note field. From there, the credit note can also be called up at any time. The credit note can then be posted, and the last pre-payment or partial invoice is cancelled. The posted credit note is then linked in the payment plan and the cancellation is marked. The no. of the partial or pre-payment invoice is then free again.

A new Flat-Rate invoice can be created soon, and possible corrections are carried out.

Detailed partial invoice

A partial invoice in detail always refers to each line from the sales order.

After the lines in the order have been prepared accordingly, the Actions - AZM - Create Invoice menu item opens the "AZM Create Invoice" window. In the field Invoice type "Part Payment Detail Invoice" is selected.

Cumulation

In this case, a value must be entered in the field "NC ANZ/TR cum. %" in each line of the order before calling up - "Create invoice". The value in this field must be entered cumulatively. Example: In the first invoice 10 % of the order total should be charged, in the second another 10 %, i.e. cumulatively 20 %, etc.

In the detail document, a line is also created in the partial invoice for each line from the order.

Release

When the invoice is released, the previously booked pre-payment/partial invoice is deducted. The following prerequisites must be fulfilled beforehand:

  • No other prepared invoice may exist for the respective order/payment plan.
  • The G/L account in the rows must correspond to the designated G/L account from the posting matrix.
  • There must not be different VAT rates in the rows.

Overview payment plan

There is a detailed overview of the invoices created for the order. There, all unposted and posted documents are displayed in detail and can be called up. This payment plan can be called up via the menu call Actions - AZM - Show pre-payments.

In this window you can find useful information such as the amounts posted, the current number of the partial invoice/payment invoice in the "Invoice no." field, whether a voucher has been deleted or posted and whether a voucher has been cancelled. No.", whether a document has been deleted or posted and whether a document has been cancelled. Canceled and deleted lines can be shown temporary bye deleting of filters.

Final invoice

Before creating the final invoice, the order must be delivered. This means that the quantity delivered must match the quantity field. Afterwards, the final invoice can be created via the menu call Actions - AZM - Create invoice. The invoice type Final Invoice is selected, no further selection is necessary.

When the final invoice is released, the partial invoices are deducted and displayed as a separate G/L account line in the final invoice. The G/L account is again taken from the booking matrix.

After posting the final invoice, the order is completed.

Note

A final invoice cannot be cancelled via automatic logic. If a final invoice is cancelled manually, the entire process up to the creation of the final invoice must be carried out again manually (with a new order).

Process Description: Purchasing

In purchasing, the prerequisite for the use of the pre-payment and partial invoices is a purchase order. In the purchasing header in the General tab, there is a field Identifier (PRP/PP/FP). Behind this identifier there is a table in which you can store and create a new data record for the order and thus create a pre-payment plan. If a value is entered in this field and then assigned, pre-payments and partial invoices can be created for this order. The system can only use an identifier for one order. Each new order requires the creation of a new identifier.

Create a pre-payment or partial invoice

Flat-Rate Invoice pre-payment

For pre-payment invoices, a cumulated invoice can be created in the purchase order. In this case, only one invoice line can be entered with the cumulated sum, in the pre-payment invoice. „Create invoice" opens a dialogue window where "Prepayment Invoice" can be chosen in the field Invoice type. Then a percentage or an amount can be entered in the window as desired. This amount then corresponds to the net amount of the created pre-payment invoice. In the field G/L account description, the row description for the cumulated sum is entered.

The created cumulated sum invoice contains a row with the description and the amount from the "AZM Create Invoice" window. The combination of gen. business posting group and gen. product posting group is pulled from the gen. business posting group field via the vendor (gen. business posting group) and from the general ledger setup (pre-payments/partial invoices tab). The G/L account to which the pre-payment invoice is posted is pulled from the general posting setup from the "purchase pre-payment invoice" account field.

After approval, the invoice can be posted.

Note

As a prerequisite for any further invoice, there must be no other prepared invoice for the respective order/payment plan.

Flat-Rate Partial Invoice

A flat-rate invoice is created from the order via the menu: Actions -> AZM -> "Create invoice". In the field Invoice type, select "Part Payment Flat-Rate Invoice".

After release, a credit note is created in the background to balance the pre-payment invoice. (see "Cumulation")

Cancellation feature

The last generated partial invoice can always be cancelled via the cancellation function, so it can still be corrected. Hence a new purchase credit note is to be created with the respective Vendor. Then the window is called up via the menu call Actions - Cancel Invoice/Partial Invoice Function in which the partial or pre-payment invoice to be cancelled can be selected.

After selection, the credit note is automatically created and linked to the partial or pre-payment invoice that will be cancelled. The link is visible in the payment plan of the purchase order in the Prepared credit note field. From there, the credit note can also be called up at any time. The credit note can then be posted, and the last pre-payment or partial invoice is cancelled. The posted credit note is then linked in the payment plan and the cancellation is marked. The no. of the partial or pre-payment invoice is then free again.

A new "partial invoice flat rate" can be created thereafter, and any corrections will be made.

Detailed Invoice - Partial Invoice

A partial invoice always refers to each line from the purchase order.

After the lines in the order have been prepared accordingly, the Actions - AZM - Create Invoice opens the window "AZM Create Invoice". In the field Invoice type, select "Partial invoice document".

Accumulation

In this case, a value must be entered in the field "NC ANZ/TR cum. %" in each line of the order before calling up - "Create invoice". The value in this field must be entered cumulatively. Example: In the first invoice 10 % of the order total should be, in the second another 10 %, i.e. cumulatively 20 %, and so on.

In the detail document, a line is also created in the partial invoice for each line from the purchase order.
